Dynamics 365 Business Central Licensing explained

Microsoft Dynamics 365 Business Central is a modern business management solution designed for small to medium-size enterprises. Built on the robust functionality of Microsoft Dynamics NAV, it allows organizations to fully manage financials, supply chain, sales, purchasing, and warehousing. Best of all, it provides organizations with deployment options on either on-premise or cloud.


We have simplified the Dynamics 365 Business Central licensing in the below image, which is applicable for both perpetual and subscription-based licensing.

D365BC is licensed per named user, meaning all users who will access the system should have their own separate license. While named users cannot share their license with anyone, they can access D365BC across multiple types of devices.


What can the users do based on the license assigned to them?

Essentials and Premium users are ‘full users’. This means they receive unrestricted access to the system’s functionalities. Team Members are ‘additional users’ who perform light tasks and mostly consume data or reports. At least one user of either Essentials or Premium needs to be licensed. The rest can be assigned to Team Members.


Team members can read and approve, create cards, quotes and sales orders. Essential users can do all except service management and manufacturing.  Premium users can do all including service management, manufacturing and supply planning.
